How to Choose a Coffee Wholesaler for Your Business

Choosing the right coffee wholesaler is one of the most important decisions you'll make for your Café/Office/Hotel/Restaurant/Pub. The coffee you serve shapes your reputation, your repeat custom and your margins. So it's worth getting right!

Below are the questions businesses ask us most often, each with a quick answer. Where you'd like more detail, follow the link to the full guide.

1. How much does wholesale coffee cost?

Wholesale coffee typically ranges from around £90 to £160+ per case (6x1kg), depending on quality, origin and order volume. The cheapest option rarely protects your margins. What matters is your true cost per cup and the reputation a great coffee earns you. A premium bean adds only pennies to each drink but can transform how customers see your business.

2. What's the minimum order for wholesale coffee beans?

It's usually far lower than people expect (often just a few kilograms) and exists to keep your coffee fresh and deliveries efficient, not to exclude smaller businesses. With flexible pack sizes and delivery frequencies, you can match your order to what you actually use rather than over-committing.

3. Do coffee wholesalers provide and maintain the machine?

Yes, a good wholesaler should be able to supply the machine as well as the beans, often on a buy, lease, or rent scheme as part of a supply agreement, so you can avoid a large upfront cost. Just as important is what happens when something goes wrong: look for included servicing, fast support and staff training.

4. How do I switch coffee suppliers without disrupting my business?

Switching is far simpler than most people fear. The key is to taste samples first, then overlap your first new delivery with your remaining stock so there's never a gap. A good supplier handles machine setup and staff training so there's no dip in quality on day one.

5. How fresh will the coffee be?

Freshness is the single biggest factor in a great cup. Coffee can have a relatively long shelf life, however once the bag has been opened, its best to use it within a few days. This is due to the oxidisation of the beans, which can make them go stale and completely change its taste profile. At Hessian Coffee, Masteroast roast our beans fresh and dispatch promptly so you're always serving coffee at its best.

6. What's the difference between specialty and commercial coffee?

Commercial (or commodity) coffee is produced in bulk and graded for consistency of supply rather than flavour, often masking defects within a blend. Specialty coffee is scored and selected for quality, with traceable origins. The difference in the cup is significant, and so is what customers will happily pay for it. Serving genuinely good coffee is one of the simplest ways to stand out.

7. Can a wholesaler supply decaf and other drinks too?

At Hessian Coffee, we are a bit of a one-stop shop, not just a bean supplier. Alongside your coffee, you can get quality decaf, plus hot chocolate, tea and syrups so your whole drinks menu is covered by a single, reliable partner. In addition, we are here for all your equipment needs from machines, to cups, to training and servicing. We're happy to talk through the full range for what is best for your business.

8. Do coffee wholesalers offer barista training for my staff?

The best ones do, and it matters! Even excellent beans and a top machine will disappoint if drinks are made inconsistently. Look for a supplier who trains your team on grind, dosing, extraction and milk technique, and who's on hand when you take on new staff. Confident baristas mean consistent quality and less waste. Hessian Coffee provides hands-on training so your team gets the very best from every bag.

9. How often can I get coffee delivered?

Delivery should fit around your usage, whether that's weekly, fortnightly or monthly, so you stay fresh without running out mid-service. Always check a supplier's delivery coverage and lead times before committing. We deliver to businesses across England and will agree a schedule that keeps your stock topped up and fresh.

10. Is the coffee ethically and sustainably sourced?

Increasingly, customers care where their coffee comes from — and so do the people who grow it. Ethical, traceable sourcing means growers are paid fairly and the supply chain is transparent, which also tends to mean better quality in the cup. It's a fair question to ask any supplier, and a point of pride for us at Hessian Coffee, as we are in association with World Coffee Research that supports generations. You can find our coffees origins on our website!
