Wholesale Coffee: Providing & Maintaining Machines

Do Coffee Wholesalers Provide and Maintain the Machine?

For many businesses, the coffee itself is only half the question. The other half is the machine: who supplies it, who pays for it, and crucially, who fixes it when something goes wrong at 9am on a Monday. If you're weighing up a coffee supplier for your hospitality business, here's how machine provision and maintenance usually work, and what to look for.

The short answer: yes, many do

A good coffee wholesaler should be able to provide the machine as well as the beans. Rather than asking you to buy equipment outright, most specialty suppliers offer the machine as part of an ongoing supply arrangement. This removes a significant upfront cost and means you're not left managing equipment on your own.

At Hessian Coffee, we supply quality traditional & bean-to-cup machines alongside our coffee, so you have a single point of contact for everything that keeps your coffee flowing.

How machine provision typically works

Arrangements vary between suppliers, but the most common models are:

Machine on loan with a supply agreement. The supplier provides the machine, and you commit to ordering your coffee from them. This is popular because it keeps your capital free and ties the relationship to the quality of the coffee, not just the hardware.

Lease or rental. A fixed monthly fee covers the machine, often with servicing included. This spreads the cost predictably and is easy to budget for.

Purchase. You buy the machine outright. This suits established businesses that want full ownership, though it does mean maintenance responsibility may sit with you unless a service plan is included.

The right option depends on your cash flow, your expected volume and how long you plan to operate. We're always happy to talk through which model fits your business best.

What about servicing and breakdowns?

This is where the relationship really matters. A machine is only an asset while it's working, the moment it breaks, it's lost revenue and disappointed customers.

When choosing a supplier, ask:

  • Is servicing included, and how often? Regular preventative servicing keeps the machine reliable and the coffee tasting as it should.
  • What happens if it breaks down? Find out the response time and whether there's phone support, an engineer call-out, or a replacement machine while yours is repaired.
  • Who handles cleaning and consumables? Some suppliers include descaling, filters and routine upkeep guidance as part of the service.
  • Is staff training provided? A well-maintained machine still needs a confident operator. The best suppliers train your team so the machine is used correctly from day one.

At Hessian Coffee, we supply QR stickers with the machines that allow the customer to scan it and report faults, order products, as well as watch training videos.
